About the role

This Internship will allow the Intern to gain some professional experience in two of our main departments, Human Resources & Operations, in a rotation system, promoting the acquisition of a wide range of skills and knowledge within these two areas.

The Intern will work closely with our team members providing support in various HR and Operations related topics, as well as deal with other colleagues in our offices in Europe.

Duties and Responsibilities :

HUMAN RESOURCES :

  • Provide support with the documents’ collection from new employees and interns (hard and digital versions);
  • Create and update employees and interns’ physical and digital files, as well as destroy any files that are already obsolete;
  • Scan and archive documents;
  • Enter data and upload documents into the HR IT system;
  • Provide general support in the various stages of the recruitment processes;
  • Assist in the control of attendance;
  • Control temporary workers’ timesheets;
  • Provide support with periodic evaluations of employees and interns;
  • Issue work, effectiveness, internship and other declarations / certificates when requested by employees;
  • Issue unemployment declarations for Social Security;
  • Establish contacts with Schools and Universities regarding the creation of a partnership for internships’ programs;
  • Provide support with administrative and bureaucratic issues related to IEFP internships, both in terms of documentation and records in the IEFP Portal;
  • Perform other duties as assigned.
  • OPERATIONS :

  • Supports office daily needs & Office Management related projects next to the EAP Operations team.
  • Receives third parties / visitors at the office door, including incoming post / shipments and others;
  • Supports the Post team with outgoing shipments;
  • Organization and maintenance of paper archive;
  • Support on handling employees’ Meal Allowance cards orders, Occupational Health Appointments, and others that may require third party contact;
  • Support on the preparation of new hires desks / welcome kits preparation;
  • Support on the preparation of internal and external communications / invitations when needed;
  • Support with third parties contracts and renewal dates;
  • Stocking and ordering office supply inventory;
  • Ensures that the office space, particularly common areas, is maintained at a high level of tidiness;
  • Supports events coordination for various on-site and off-site events held throughout the Firm, including team-buildings, charity, and others;
  • Answers telephone calls and takes accurate and concise messages, escalating appropriately.
  • Creates files, as needed, for clients and projects utilizing Microsoft Word, PowerPoint, and Excel
  • Performs other duties as assigned.
  • Education and Experience :

    We are looking for a candidate willing to achieve new challenges by integrating a dynamic and multicultural team. The candidate must fulfill the following requirements :

  • Be eligible for an IEFP internship;
  • Hold a Bachelor's Degree in the areas of Human Resources, Psychology, Sociology, or equivalent. Other Bachelor degrees will not be accepted;
  • Fluent in English (spoken and written). Other languages will also be valued in the recruitment process;
  • Domain of Microsoft Office;
  • Good communication, interpersonal and teamwork skills;
  • Strong organizational skills and attention to detail.
