What’s the role about?

The Office Manager will be responsible for oversee and manage the day-to-day operations of the facility, and clerical tasks in our office.

Being responsible for compliance, safety, efficiency, and management, according to the organization requirements. This role will also be responsible to ensure the highest standard administrative service, attending the needs of the infrastructure, its hierarchy and its scheduled operations.

The Office Manager will report directly to the Director of the GBS.

What you’ll do?

  • Make and maintain a positive office environment! Having a highly efficient and enjoyable working environment for all employees and visitors is the prime task of the role.
  • Ensure that the office is maintained to a high standard, well equipped, and always properly stocked (maintain supply inventory, oversee and purchase based stationary stock levels).
  • Coordination of front office activities, including meet and greet for all internal and external visitors, domestic and international.
  • Assist HR and IT teams in welcome new colleagues, by participating in onboarding sessions.
  • Take ownership of Health & Safety (HSE) topic for GKN Automotive Portugal.
  • Participate and act as local lead for Brand deployment projects.
  • Develop and deploy Office Policies.
  • Manage incoming mail, invoice shipment, and its respective data storage.
  • Where required, create, maintain, and enter information into databases.
  • Lead and manage relationship with all vendors and 3rd party contractors providing services to the Office, guaranteeing cost-effective services, as well as reaching contractors to handle building repairs.
  • Seek continuous improvement of Office Operations, leading processes and initiatives that may increase the Office and Teams’ daily routines.
  • Responsible for travel management for Porto Office, including its Policy deployment and development.
  • Grant support in all responsibilities addressed to the Office Management Team, such as : Event planning tasks. And maintenance of a harmonious, safe, comfortable, productive, and sustainable work environment.
  • Lead 1 team member.
  • What are we looking for?

  • High school diploma or associated degree
  • Ability to communicate clearly with internal and external contacts
  • Very strong organisational and time-management skills
  • Exceptional attention to detail and accuracy
  • Excellent interpersonal skills
  • Fully proficient with Microsoft applications including Word, PowerPoint, Excel and Outlook
  • Ability to write clearly and help with word processing when necessary
  • Ability to multitask in a highly demanding work environment.
  • Prior experience in a similar environment.
  • Fluency in English
  • Knowledge of Portuguese or any, other foreign language would be an advantage.
